On the basis of the Article 20 (Attached here to as Attachment “A”) of the
Statute of the CENTER FOR THE INTERDISCIPLINARY AND MULTIDISCIPLINARY RESEARCH AND STUDIES at the University of Maribor (Slovenia) (hereinafter CIMRS)
and on the basis of the
Agreement on the Cooperation between the MINISTERO PER I BENI E LE ATTIVITÀ CULTURALI (hereinafter MIBAC) and the CIMRS, signed in Trieste on 21 October 2005,
the Official Members of the INTERNATIONAL INSTITUTE FOR ARCHIVAL SCIENCE OF TRIESTE AND MARIBOR (hereinafter IIASTM)
adopt the following
STATUTE OF THE INTERNATIONAL INSTITUTE FOR ARCHIVAL SCIENCE OF TRIESTE AND MARIBOR
Section one: DESCRIPTION AND PURPOSES
Item 1 – The “International Institute for Archival Science of Trieste and Maribor” (hereinafter: IIASTM) is a non profit, non party, autonomous association set up in Trieste on a voluntary basis, working in the field of archival science.

The official languages of the IIASTM are English, Italian and Slovenian.
Item 3 – The goals of the IIASTM are the diffusion of archival science, the training of ad hoc human resources, the closest collaboration of the members in order to best save the archival heritage of the Member Countries.
In this respect, the IIASTM organizes and strongly supports all appropriate initiatives fit for the purpose, as the IIASTM proved with its twenty year long existence and work its importance and its international activity in researching technical problems in the archives.
Item 4 – In order to achieve its institutional goals, the IIASTM develops its activities by its own or cooperating with natural persons or other private or public institutions in various fields, among which, for example:
- organising and promoting cultural events, meetings, seminars, conferences, upper level training courses in the field of archives and disciplines linked to the world of archives of its Member Countries;
- promoting researches, studies and publications in the field of archives and disciplines linked to the world of archives of its Member Countries;
- listing, preserving, increasing in importance, studying and recovering all the archival sources of the Member Countries and spread them via ad hoc cultural events (such as seminars, meetings, printing of the proceedings);
- providing a meeting place where developing interests in the field of archives and disciplines linked to the world of archives of its Member Countries;
- printing the results of these activities in the official IIASTM magazine “Atlanti”.
Item 5 – The Institute is opened to all people and institutions interested to the achievement of the institutional goals.
The Ordinary Members of the IIASTM are the Official Members. They can be more than one per each Member Country, but the number of votes remains one per each Member Country. The Official Members serve a term of five years, renewable.
The Honorary Members of the IIASTM are the natural persons or the private or public institutions who, according to the goals of the Institute, can decisively be of benefit to the IIASTM with their work or their economic sustain. As it happens for the Official Members, Honorary Members are invited to join the by the Assembly of the Official Members at the Executive Board’s suggestion.
The status of Member is lost as a consequence of death, expulsion, disbarment (at the Executive Board’s suggestion as a consequence of heavy criminal or moral reasons), resignation, confirmed by the Executive Board. Members can appeal against expulsion or disbarment measures to the President within 30 days; the Executive Board will provide a final judgement.
Section two: ADMINISTRATIVE BODIES
Item 6 – The administrative bodies of the Institute are:
a) the President and the Assembly of the Official Members;
b) the Director;
c) the Executive Board.
Item 7 – The highest administrative body of the IIASTM is the Assembly of the Official Members, chaired by the President. The Assembly of the Official Members serve a term of five years, renewable. It is made up by the half plus one of the Members, and deliberates by a majority about the issues on the agenda.
Item 8 – The President of the IIASTM is appointed by the Italian Ministero per i Beni e le Attività Culturali – Amministrazione Archivistica, and her/his appointment is approved by the Assembly of the Official Members. The President serves a term of five years, renewable.
Item 9 – The Director of the IIASTM is appointed by the CIMRS and her/his appointment is approved and confirmed by the Italian Ministero per i Beni e le Attività Culturali – Amministrazione Archivistica. The Director serves a term of five years, renewable. The Director is the legal, financial and scientific representative of the IIASTM, and she/he agrees with the Executive Board of the IIASTM on her/his decisions. The Director also acts as Treasurer of the Institute.
The Director of the State Archives in Trieste acts as Deputy Director of the IIASTM.
Item 10 – The Executive Board of the IIASTM is composed of five members: the Director of the IIASTM, a Counsellor to the Director of the IIASTM, the Director of the State Archives in Trieste (acting as Deputy Director of the IIASTM), a Counsellor to the Director of the State Archives in Trieste, the President of the Assembly of the Official Members. The Executive Board serve a term of five years, renewable.
The Executive Board assist the Director in performing his duties.
The Executive Board, as part of its duties, can make use of working bodies appointed by the same Executive Board, or make use of the voluntary work of outside experts having specific competencies to carry out specific projects; if needed, it can also establish specific professional partnerships within the compass of the budget forecast approved by the Assembly of the Official Members.
The Executive Board is invested with the largest authority for the ordinary and extraordinary management of the Institute, having no limit in its activities. It draws up the account of the Institute and submits it to the Assembly of the Official Members.
The members of the Executive Board, if the financial resources of the IIASTM allow, can receive a refund of the material costs (i.e.: travels, accommodations, tolls, etc.).
The Executive Board meetings are open to the participation of the Members, that participate having no refund of the material costs (i.e.: travels, accommodations, tolls, etc.).
Section three: ASSETS AND ACCOUNT
Item 11 – The assets of the Institute are indivisible and are made up of:
a) movables and immovable property of the Institute;
b) contributions, allocations and legacies;
c) contributions by public or private institutions;
d) proceeds of the Institute coming from events related to the goals of the Institute;
e) currency reserves resulting from budgetary excess;
f) every other income contributing to a current account surplus.
Item 12 – The financial year starts on January 1st and ends on December 31st of every year. The Executive Board draws up the account of the Institute and submits it to the Assembly of the Official Members within the end of the year. A dispensation may be granted in case of proved or unforeseen difficulties. The account will highlight in an analytic way the costs and the proceeds and the financial status to calculate the final account.
Section four: DISSOLUTION OF THE INSTITUTE
Item 13 – The Assembly of the Official Members can take a justifiable decision of dissolving the Institute. The decision must be approved by three quarters of the Official Members at least.
The Assembly of the Official Members, appointed a liquidator, decides on the donation of the remaining assets of the Institute, deducted of the current liabilities, to another association having similar goals, or to the common weal, except as provided by law.
Section five: FINAL REGULATIONS
Item 14 – The Assembly of the Official Members decides on all other occurrences non specified in the present Statute, according to the law.
Item 15 – The Article 20 (Attached here to as Attachment "A") of the Statute of the CIMRS and the Agreement on the Cooperation between the MIBAC and the CIMRS are integral part of the present Statute.
Item 16 – The present Statute is drawn up in the three official languages of the Institute (English, Italian, Slovenian).
Item 17 – The present Statute comes into effect after the approval of the Assembly of the Official Members of the IIASTM.

- organising and developing activity in the field of science and research,
- cooperating in preparing programs of scientific and research work of Centre,
- organising professional, advised, education and other performance,
- cooperating in education of professionals for research,
- caring for development of scientific branches with promoting new scientific results,
- promoting to include students in research work and cooperating with students,
- cooperating with research organisations and others,
- studying the possibilities and tools for transfer the scientific and research results to practice,
- organising scientific and professional meetings from their fields of activity,
- cooperating with research groups.
